What the pre-filing review covers
You send the draft 990 your preparer produced, with all schedules, before it is signed or e-filed - ideally at least ten days before the deadline.
- Consistency check
- Part I totals against Parts VIII, IX and X; Schedule A support figures against the revenue detail; Schedule D reconciled to Part X; Schedule O references matched to every line that needs an explanation. This is what catches the mechanical errors that get returns rejected or amended.
- Story check
- The 990 is a public document that funders, journalists and donors read. Does Part III describe the programs the way you want to be known? Does the mission statement match your website? Are accomplishments quantified?
- Ratio and trend read
- The same analysis as a standard Second Look, but on the draft: functional expense split, program ratio movement, public support percentage and runway, revenue concentration, months of cash. The point is to see what a program officer will see, and whether anything can legitimately be fixed before filing - a reallocation with support behind it, a missing in-kind entry, a misclassified grant.
- Governance and disclosure sweep
- Every Part VI “no” answer flagged, with what it costs in funder perception and whether it is even accurate. Schedule L and Schedule J reviewed for anything that needs a Schedule O explanation that is currently missing. Compensation approval process documented.
- Question list for the preparer
- A short, specific list your board or ED sends back to whoever prepared the return: “Line 24 in Part IX is $41,000 and unexplained - what is in it?” This is the deliverable that makes a board look competent.
- Board summary
- One page, plain English, and the three questions to ask before voting to approve, so the approval is real rather than a formality.
What it is not
- It is not preparation. We do not change the draft; your preparer does.
- It is not a review or attestation under professional standards, and the report says so.
- It is not tax advice on your specific positions. Where a position looks wrong, the report says why that is typically questioned, and your preparer or our firm handles it as a separate engagement.
